Creating a proposal shouldn't require copying the same customer information out of your CRM, pasting it into a document, checking it for mistakes, updating the pricing, finding the right contact, and then remembering to come back to HubSpot afterward to record what happened.
That kind of administrative work is exactly what a CRM integration should reduce.
PandaDoc's HubSpot integration can connect your CRM records with reusable document templates so salespeople can create proposals, agreements, presentations, and other documents using information that's already stored in HubSpot. Documents can be created from HubSpot records, populated with CRM data, sent to recipients, and tracked without forcing salespeople to rebuild the same document every time. PandaDoc Help Center
We originally created the video below to show how this works. If you prefer watching the process, start there. If you'd rather follow along step by step, the rest of this article walks through the setup and explains where the workflow becomes particularly useful.
What Does the PandaDoc HubSpot Integration Do?
At its simplest, the integration connects the information you've already collected in HubSpot with the documents your sales team creates in PandaDoc.
PandaDoc currently supports HubSpot Contacts, Companies, and Deals. Depending on how your templates and integration are configured, information can flow from those records into a PandaDoc document, including CRM properties and product information. Your team can then create and track the resulting document from the HubSpot record. PandaDoc Help Center
For a sales team, that can remove a lot of repetitive work.
Instead of starting every proposal with a blank document, a salesperson can begin with an approved template. Customer and deal information can populate the appropriate places. Products and pricing can be pulled into the document where the setup supports it. Once the document is sent, its status can remain connected to the CRM. PandaDoc Help Center
The real benefit isn't merely saving a few clicks. It's creating a more consistent sales process without requiring the salesperson to become a data-entry specialist.
Before You Build the Template, Decide What Should Be Repeatable
This is the part that's easy to skip.
Before you start adding HubSpot properties to PandaDoc, look at the documents your sales team already sends. Which parts should remain consistent from deal to deal, and which parts genuinely need to be customized?
A proposal might contain standard sections for:
- Company background
- Scope or service descriptions
- Terms and conditions
- Case studies
- Pricing structure
- Signature fields
Other areas may need information from the specific deal, company, or contact.
The goal isn't to automate every word. A useful template handles the predictable parts so your salesperson can spend more time thinking about the customer-specific parts.
If you simply turn a bad proposal into a reusable template, you've only made the bad proposal easier to send.
Step 1: Connect PandaDoc and HubSpot
PandaDoc's current setup starts by connecting the HubSpot integration from PandaDoc. Once connected, the PandaDoc functionality becomes available on supported HubSpot Contact, Company, and Deal records. PandaDoc notes that the person establishing the connection needs the appropriate permissions in both systems. PandaDoc Help Center
Once the integration is active, your sales team can create documents from the HubSpot records where they already work.
That's important for adoption.
Every time a salesperson has to leave the CRM, search for another system, find the right account, and reconstruct the context of the deal, you create another opportunity for the process to fall apart.
A good integration keeps the workflow close to the record the salesperson is already using.
Step 2: Create the PandaDoc Template
The PandaDoc template is the reusable foundation for the document.
Build the sections that should remain relatively consistent, then identify the information you want HubSpot to provide automatically.
For example, a proposal might need:
- Company name
- Contact information
- Deal name
- Deal amount
- Product or service information
- Dates
- Account-specific details
PandaDoc's integration uses mapped CRM data and variables to populate information from HubSpot into documents. In its newer experience, templates can include a Pull data from integration step that defines which CRM record provides the information. PandaDoc Help Center
Spend some time deciding what should be automated here.
Just because a property exists in HubSpot doesn't mean it belongs in your proposal.
Step 3: Add the HubSpot Information You Want to Reuse
Once the template is connected to HubSpot, you can map information from CRM records into the places where it belongs in PandaDoc.
This is where the setup starts saving real time.
Instead of asking a salesperson to type the client's company name into four different places, you can use the appropriate CRM data throughout the template. The same idea can apply to deal information and other mapped properties. PandaDoc also supports roles and role variables, which can help populate recipient information when documents are being created from deals or companies. PandaDoc Help Center
There is one practical lesson here that matters more than the feature itself:
Your HubSpot data has to be trustworthy.
If the company name is wrong in the CRM, PandaDoc can very efficiently place the wrong company name into the proposal.
Integrations don't fix bad data. They make whatever data you already have easier to use.
Step 4: Add Products and Pricing When It Makes Sense
If your sales process uses HubSpot deal products, PandaDoc can also use product information in document pricing sections. Its integration supports passing HubSpot product information into PandaDoc pricing tables or quote-builder elements, depending on the configuration. PandaDoc Help Center
This can be particularly helpful when your proposals regularly include combinations of the same products or services.
The bigger question is whether your HubSpot product library and pricing process are already organized well enough to support it.
Before automating pricing, make sure your team agrees on things such as:
- Which products should live in HubSpot
- How quantities are handled
- Who can change pricing
- How discounts work
- Which information belongs in the proposal
- How exceptions are handled
This is another place where the technology tends to expose the health of the underlying sales process.
If pricing is different every time because nobody has agreed on how it should work, the integration isn't your first problem.
Step 5: Create the Document From HubSpot
Once the template is ready, a salesperson can create a PandaDoc document from a supported HubSpot record.
PandaDoc's current workflow allows the user to choose a template, connect the relevant CRM record, assign recipients, review populated information, customize the document as needed, and send it. The newer PandaDoc experience uses a guided workflow for selecting the CRM record and populating the document rather than relying on the older editor-side integration panel. PandaDoc Help Center
This is where the work you did during setup pays off.
A salesperson shouldn't have to rebuild the document from scratch. They should be reviewing the information, adding anything specific to the opportunity, and making sure the proposal actually reflects the conversation they've had with the customer.
Automation should remove the repetitive work without removing the thinking.
Step 6: Track the Document From the CRM
Once a PandaDoc document has been created through the integration, its status can be tracked in connection with HubSpot. PandaDoc Help Center
That matters because a proposal isn't the end of a sales process.
It's another event inside it.
The salesperson still needs to know what happens next. Has the document been sent? Is the opportunity moving? Does someone need to follow up? Has the agreement been completed?
Keeping document activity connected to the CRM gives the sales team more context without forcing someone to manually reconstruct the history later.
It also makes HubSpot more useful to managers. When proposal activity happens outside the CRM and never makes its way back, pipeline visibility becomes weaker.
You Can Take the Automation Further
For teams with the appropriate PandaDoc setup, there are options for syncing more information back into HubSpot when document statuses change.
For example, PandaDoc currently supports automation rules that can update HubSpot deal stages or properties in response to document status changes. Some of these capabilities depend on PandaDoc plan level and its External Automations feature. PandaDoc Help Center
This is powerful, but it's also where I'd be careful.
Imagine automatically moving a deal into a new stage when a document reaches a particular status.
That could be useful if the document status genuinely represents the milestone your sales process uses.
It becomes less useful if you're changing the sales process simply because the software makes the automation possible.
The question should always be:
What happened with the customer, and what should that mean inside our sales process?
Then configure HubSpot and PandaDoc to reflect that answer.
Common PandaDoc and HubSpot Setup Mistakes
The technical setup is only one part of getting value from the integration. Most of the problems we've seen with sales technology come from how the system is designed around the team using it.
Building Too Many Templates
Templates are supposed to simplify the process. If salespeople have to choose between 27 nearly identical proposals before sending one, we've introduced another problem.
Start with the documents your team sends frequently enough to justify standardization.
Automating Bad CRM Data
If important HubSpot properties are incomplete or unreliable, deal with that before depending heavily on automated document population.
A beautifully automated proposal full of bad information isn't much of a win.
Removing Too Much Flexibility
Consistency matters, but B2B sales often requires context. Your templates should standardize the pieces that benefit from consistency while giving the salesperson enough room to respond to what they learned during the sales conversation.
Ignoring the Salesperson's Workflow
A technically elegant integration can still fail if it adds unnecessary steps.
Watch how the sales team actually creates and sends proposals. The workflow should make that process easier.
Automating Deal Stages Without Defining Them
Before PandaDoc activity automatically moves a deal through HubSpot, make sure everyone agrees about what each stage actually means.
Otherwise, you're automating unreliable pipeline data.
Can PandaDoc Pull HubSpot Properties Into a Template?
Yes. PandaDoc supports pulling information from HubSpot records into PandaDoc documents through mapped CRM data and variables. The available information depends in part on the HubSpot object you're using and how the template is configured. PandaDoc Help Center
This is one of the integration's most useful features because it reduces repetitive entry while keeping the CRM as the source of the customer and deal information.
Can You Create a PandaDoc From a HubSpot Deal?
Yes. PandaDoc documents can be created from HubSpot Deal records, as well as supported Contact and Company records. You can choose the appropriate template and recipients, review the populated document, and send it through the connected workflow. PandaDoc Help Center
You can also initiate a document from PandaDoc and associate it with a HubSpot deal. PandaDoc Help Center
Can PandaDoc Update HubSpot When a Document Is Completed?
PandaDoc currently provides automation options that can update information in HubSpot based on document status. Depending on your PandaDoc plan and configuration, those rules can include things such as changing a deal stage or updating mapped deal properties. PandaDoc Help Center
I wouldn't enable those rules simply because they're available. Tie them to the sales process first.
Should Every HubSpot Sales Team Use PandaDoc?
No.
PandaDoc can be a good fit when documents such as proposals, agreements, quotes, or presentations are a meaningful part of the sales process and your team benefits from connecting those documents more closely to CRM data.
Other businesses may already have a different quoting or document process that works well.
Start with the friction you're trying to remove.
If salespeople spend too much time recreating proposals, manually copying CRM data, updating the same pricing information in multiple systems, or tracking documents outside HubSpot, the PandaDoc integration may be worth considering.
If none of those things is a real problem, adding another platform won't automatically improve sales.
The Best Integration Is the One Your Sales Team Actually Uses
The reason we like integrations such as PandaDoc and HubSpot isn't that connecting software is inherently valuable.
It's valuable when the connection removes unnecessary work from a sales process.
Salespeople get more consistency without rebuilding every document. Managers get better visibility. Customer information stays connected to the opportunity. The team spends less time moving information between systems and more time working with customers.
That's what sales technology should do.
And when the integration doesn't accomplish that, we'd rather look at the workflow than blame the salesperson for not using it.
Build HubSpot Around the Way Your Team Sells
Orange Pegs helps businesses configure HubSpot around their actual sales process, including pipelines, properties, automation, reporting, handoffs, integrations, and adoption.
If you're trying to connect PandaDoc or another sales tool to HubSpot, the integration itself is usually the easy part.
Making sure the entire workflow makes sense is where the real work begins.
